Plan a booking calendar your team can trust
Prepare staff hours, service durations and a consistent routine for appointment changes.

An empty space on a calendar is useful only when someone can actually deliver the service. Build your booking plan around staff, time and the resources each appointment needs.
01. Start with real working hours
List each team member's working hours, breaks and planned time away. Check the location and time zone your business uses. If someone works at two locations, include travel time in the plan.
Agree who updates availability so the team does not rely on several different versions of the schedule.
02. Match the slot to the whole appointment
Use the service duration from your approved service list. Account for setup, cleanup and any room or equipment that cannot be shared. Two free staff members may still be unable to accept overlapping appointments if they need the same resource.

03. Keep booking details consistent
For each appointment, prepare the customer name, service, assigned staff member, location and start time. Check contact details with the customer so a change can be communicated clearly.
Agree how the team handles rescheduling, cancellations and late arrivals. When a booking moves, make sure both the customer and the person providing the service know the new arrangement.
04. Review tomorrow before today ends
A short daily review catches problems before customers arrive.
- Staff are available for every planned appointment.
- Service durations and required resources fit.
- Changes have been communicated.
- Any unclear customer request has an owner.
