Keep client notes short and useful
Prepare a consistent way to record service preferences, agreed changes and the next action for a client.

A useful note helps the next team member serve the client without reading a long story. Record what happened, what was agreed and what needs to happen next.
01. Record facts that help deliver the service
Keep the note tied to the appointment or service: the customer's stated preference, the agreed scope and any change that affects the next visit. Use neutral language that another team member can understand.
For example: Customer requested the same finish as the previous visit. Confirm the service length before the next booking. That is more useful than a vague reminder to remember this customer.
02. Separate the note from the next action
Write the next step plainly and identify who is responsible. If someone promised to confirm a time or price, include what needs confirming rather than implying it has already been agreed.
Keep payment status separate from a casual note. A message saying paid should not replace the actual payment record.
03. Keep information relevant and respectful
Collect only what your team needs to provide the service. Avoid unnecessary personal details, speculation or comments about a customer's character. Follow your business's rules for access and retention.
Do not paste sensitive client information into an AI request simply to improve the wording. You can practise a note format using fictional details instead.
04. Use a three-line template
Review the format with your team before migrating existing notes. Keep current, useful information and flag anything that needs clarification.
- Service or visit: what happened and when.
- Preference or agreed change: the relevant facts.
- Next action: what needs doing and who will do it.
